Hi, I'm Piper Hatcher Call, Executive Secretary to Dean Lucinda Lavelli.

I  feel very fortunate to work in an artistic environment, and enjoy working with the dedicated and resourceful staff across the College in support of our talented students, faculty and administrators.  

I am a fifth generation Floridian, and the first in my family to graduate from college.  My grandfather was orphaned at age five, had very little education, and made his living as a fisherman on the Gulf of Mexico.  He always impressed upon me the importance of education and inspired me to attend the University of Florida.   Had he lived long enough, I'm sure he would have been pleased to see me walk across the stage at the O'Connell Center. 

Outside of work I fulfill my own artistic endeavors with traditional step dancing from Ireland, Cape Breton, England and the Appalachians.  

Here is a profile of my duties:

Provides clerical/secretarial support to the Dean

  • Drafts, edits and prepares for Dean’s signature confidential and routine correspondence, evaluations, reports, and emails
  • Manages Dean calendar, including determination of priorities for and independent scheduling of all regularly-scheduled and unique meetings and appointments
  • Schedules and assists in meetings
  • Drafts agenda and records/drafts/distributes minutes as assigned
  • Sets up refreshments as required
  • Maintains subject and chronological files, both hard copy and electronic
  • Arranges travel and accommodations for Dean and completes reimbursement vouchers
  • Serves as Dean’s Office “social secretary” which includes ordering flowers, sending sympathy and get-well cards, sending thank-you and congratulatory notes, etc.
  • Other duties as assigned by Dean

Provides administrative support and assistance to the Dean

  • Arranges and coordinates a variety of functions and events specified by the Dean.  These include college-wide faculty and/or staff meetings, director and staff annual retreats, commencement, informal and formal social occasions, visits to and from external constituencies and others as required.  Responsible for securing facilities; setting up/breaking down event as needed; contracting catering services, negotiating contracts with vendors, and processing required documents in a timely manner; and being present at events to ensure smooth functioning.
  • Researches and summarizes information, and provides initial recommendation, if appropriate, that will aid Dean in decision-making process.  As appropriate, communicates on behalf of the Dean regarding college policies and procedures or refers inquiries to other college staff.
  • Communicates relevant information to College directors, faculty and staff.

Provides administrative support and assistance to the Faculty Council, Staff Council and other college or university-wide committees as specified by the Dean

  • May include recording/drafting/distributing minutes and other materials
  • Sets up refreshments as required

Provides administrative support and assistance for faculty and administrative searches at the request of the Dean

  • This includes arranging travel, lodging and itineraries for candidates
  • Arranging search committee meetings
  • Taking/drafting/distributing minutes as needed

Assists with various college-wide elections as needed

Other

  • Dean’s Office duties as needed, including serving as back-up receptionist, scheduling of Dean’s Conference Room, etc.
  • Office and kitchen supply organizer/coordinator
  • Facilities and work orders
