Out Of Pocket Payments

Personal Reimbursements:

In general, you should NOT need to make purchases out of pocket unless you are traveling. Use one of the other methods for purchasing items rather than your own money. This is especially important when buying technology or other related items as those items belong to the University if UF funds have been used to buy them. This is very important to consider when buying something like a laptop, as you will have to have it decaled and tracked through the College.

However, if you made an approved purchase on behalf of the college and need reimbursement, please submit a signed, itemized receipt. Your receipt MUST also show the payment (credit card charge etc.) You may have two receipts — one with the details, one with the charge processing. We must have both in order for UF’s Disbursements area to process the charge. WITHOUT THE DETAILS WE CANNOT REIMBURSE YOU.  Make a copy for yourself and place the itemized original receipt in one of the provided envelopes from the business office (most likely located in your school’s mail room) and complete the front of the envelope with as much information as possible- you must fill out the funding (remember no purchase should be made without either verifying the budget OR getting it approved) and the UF business purpose. If you do not, we will just have to contact you once we receive it and ask you then, thus delaying your reimbursement. Please remember, only one reimbursement per envelope and please avoid using staples. Place the envelope in the pickup box.  Someone from the business office will pick up items in this box three times per week.  DO NOT SEND RECEIPTS THROUGH CAMPUS MAIL!

Whenever possible, please work with the Business Office to procure what you need and not just pay for it and ask for reimbursement later.

The reimbursement will be paid to you in the same manner you receive your paycheck.
